Customer Manager Details

Below is an explanation of each field and the tabs on the Customer Manager screen:

Header Fields

Search by keyword - You can type the first few characters of the customer or location name in this field, hit the Enter key and the list will re-sort to that name or names beginning with those letters.

 

Filter by status - You can filter or limit the list by the proposal status

 

Filter by estimator - You can filter or limit the list by the name of the estimator

 

List Fields

Estimate ID - The Estimate ID is a hyperlink that is automatically generated by Service Estimator. Clicking this hyperlink takes you to the job estimate screen.

 

Customer Name - This can either be a company name or 'First' and 'Last' name of the customer

 

Location Name - The name of the location where work is to be performed

 

Status - Indicates what stage the proposal is in from a sales perspective

 

Estimator - The name of the employee that established the new Customer and Estimate.

 

Job Type - The Job Type defaults to HVAC only, for now. In the future you will be able to specify a job type such as ELEC, PLBG etc. to identify or group records.

 

City - This is the "Location" city of the job

 

State/Province - This is the "Location" state or province of the job

 

Location Contact - The name of your primary contact at the job location

 

Job and Customer Information Tab

Customer Name - This can either be a company name or 'First' and 'Last' name of the customer. It is generally the "Bill To" name

 

Address - The address field is used for the primary street or mailing address, (P.O. Box, etc) of the "Bill To' customer

 

Address Line 2 - The second "Bill To" address field may be used for Suite #, P.O. Box, Attn:, etc. If you only need to use one of the two address fields, use the first one and leave the second one empty.

 

City/State/Postal - The "Bill To" city, state/province, zip/postal code of the Customer

 

Contact Name - The name of the primary contact at the "Bill To" company name

 

Contact Title - The professional title of the "Bill To" customer's contact person

 

Phone - The phone number to use to reach "Bill To" contact

 

Ext - The telephone extension of the "Bill To" contact, if applicable

 

Fax - The fax number that the "Bill To" contact designates

 

Mobile - The mobile or cellular telephone number of the "Bill To" contact person

 

Email - The email address of the "Bill To" contact person

 

Location Name - This can either be a company name or 'First' and 'Last' name of the location. It is generally the "Location Name"

 

Location Address - The address field is used for the primary street or mailing address, (P.O. Box, etc) of the job "Location Name"

 

Address Line 2 - The second "Location Name" address field may be used for Suite #, Apt #, etc. If you only need to use one of the two address fields, use the first one and leave the second one empty.

 

City/State/Postal - The city, state/province, zip/postal code of the "Location Name"

 

Location Contact - The name of the primary contact at the "Location Name"

Notes and Activities Tab

Activity - Designated as Follow Up, To Do and Notes

 

Status - Either Incomplete or Complete

 

Notes - Any notes that you want to enter or be reminded of, up to 255 characters

 

Date - The date filed will always show today's date. It can be edited later

 

Due Date - Enter the date the activity will be due

 

Employee - The name of the estimator entering the note or to whom this customer is assigned

 

Billing Tab

Billing Contact - The name of the primary contact at the "Bill To" company name

 

Billing Address - The address field is used for the primary street or mailing address, (P.O. Box, etc) of the "Bill To' customer

 

Address Line 2 - The second "Bill To" address field may be used for Suite #, P.O. Box, Attn:, etc. If you only need to use one of the two address fields, use the first one and leave the second one empty.

 

City/State/Postal - The "Bill To" city, state/province, zip/postal code of the Customer

 

Select a different address - A customer (Company Name) may have more than one address to send an invoice to. Here you can create as many billing addresses as you want. Simply click the Manage Billing Address button and enter the required information for each.

 

Add Photo

Click to add photo - Here you can add a photo of the job location building. See Add Photos

 

Pricing Options Group

Pricing Options - The pricing option group displays the calculations for all agreement types. The blue "Proposed" flag indicates which agreement type was the predominant or intended estimate for sale. If the agreement type is changed for an estimate, this flag will slide up and down the list to match the new agreement type.

 

BUTTONS ON THE CUSTOMER SCREEN

help_button Help - Opens the on-screen help file related to customers.

 

close_button Close - Closes the Customer Manager and reopens the console.

 

manage_billing_addresses_button Manage Billing Addresses - Allows you to create any number of billing addresses

 

new_customer_button New Customer - Opens the New Customer form to allow you to add a new customer record.

 

new_estimate_button New Estimate - Opens the Create Estimate form to create a new estimate for the current customer record selected

 

copy_estimate_button Copy Estimate - Creates a duplicate copy of the estimate for the currently selected location record
